2. WHAT DATA WE COLLECT
When you contact us about donating items or complete a donation, we collect:
• Your name — to identify the donor and for donation records.
• Email address — to send confirmations and receipts.
• Phone number (optional) — to arrange collection or drop-off.
• Address (optional) — for collection arrangements.
• Photographs — of donated items for our records.
• Your signature — confirming donation and transfer of ownership.
• IP address — recorded automatically for security.
• Availability and preferences — for arranging collection/drop-off.
3. WHY WE COLLECT IT
• Consent (Article 6(1)(a)) — You give explicit consent when submitting forms.
• Legitimate interests (Article 6(1)(f)) — Maintaining accurate donation records.
• Legal obligation (Article 6(1)(c)) — Compliance with waste carrier regulations.
4. HOW WE STORE YOUR DATA
• All records are encrypted at rest using AES-256 encryption.
• Access is restricted via password and two-factor authentication.
• CSRF protection and input sanitisation throughout.
• Data stored on servers within the United Kingdom.
5. HOW LONG WE KEEP IT
We retain donation records for a maximum of 7 years for regulatory compliance, insurance and provenance. After this, records are securely deleted.
6. WHO WE SHARE WITH
We do not sell or share your data for marketing. Data may be shared with:
• HMRC — if you request Gift Aid.
• Law enforcement — if required by law.
• Our hosting provider — under a data processing agreement.
7. YOUR RIGHTS
Under UK GDPR you have the right to: access, rectification, erasure, restrict processing, data portability, and withdraw consent.
